The ticket queue that never shrank
A software company was drowning in repetitive support tickets. Every week, the same three questions accounted for 70% of the queue: "Where is my invoice?", "How do I reset my password?", and "Why is my report empty?" Each one required a human to open a database, look something up, and reply.
Support wasn't the problem. The information was just stuck in places customers couldn't reach.
What we built
A self-service portal that answers those three questions directly from the existing database — no new data entry, no duplicated systems. Customers log in, see their invoices, reset their password, and check report status themselves. The portal sends a notification when a report is ready, so "why is it empty" stopped being a question.
Where the time went
- Week one: mapping the three questions to the data behind them
- Week two: building the portal against the existing API
- Week three: testing with real customers and shipping
The outcome
Support tickets dropped by 60% in the first month. The team that used to answer the same question forty times a day now works on the backlog that was always being postponed. The customers got their answers in seconds instead of hours.
The best part: nothing new had to be learned. The portal looks like the product, works like the product, and was shipped in three weeks for a fixed price.
